Shift planning and patrol software for security guard companies

Plan shifts per site with a daily rest-hours check, follow who is on post from one dispatch board, log checkpoint rounds by each checkpoint's code, and keep incident reports and client contracts next to every site. Invoices are issued in 4invoices — 4guards prepares the billing basis (CSV export).

Checkpoint patrols and the rest-hours check start with the Plus plan; equipment tracking and the billing basis come with Pro.

What a guard company runs on 4guards

Dispatch and operations in one product: the roster, the board, the rounds, the reports and the contract that pays for them. The plan decides which parts you switch on.

Roster with a rest-hours check

Shifts hang off a site and a post. Creating or moving a shift runs the check the planner shows in advance: 12 consecutive hours of daily rest between shifts, no overlapping shifts, a maximum shift length, and a warning when a guard goes over 48 hours in a 7-day window. Blocking violations are refused unless the dispatcher forces them on purpose, so a 3 a.m. replacement can still be recorded. Weekly rest is not checked. The thresholds are settings you edit, so you can match what your local law or collective agreement requires.

Coverage gaps before the shift starts

Each site declares how many posts it sells. The coverage report sweeps the planned shifts over a date window and lists every interval where fewer guards are planned than the contract requires, while there is still time to find a replacement.

Guard attestation expiry

A guard whose professional attestation has lapsed should not stand a post. On plans with the legal check (Plus and above), shift assignment checks the expiry date, and a dedicated list shows guards whose attestation has expired or runs out within the alert window you set.

One dispatch board

The board shows every shift running right now: who is in post, who is late and which post has nobody named. Events go into a journal — the text of an entry is not edited and a follow-up is recorded as a resolution next to it; the admin, manager and owner roles can delete entries.

Checkpoint patrols recorded by code

Each checkpoint has its own token; a route is an ordered list of checkpoints and the interval at which the round must repeat. A scan is recorded from the checkpoint code, entered in the panel or sent through the API, and the list of missed checkpoints applies the grace period you configure. The panel does not generate or print QR or NFC labels, and there is no mobile app for guards.

Incident reports by severity and status

Reports carry a severity (minor, moderate, major, critical), a category from your own list, a status and an escalation status, and are listed per site with statistics. Photos are kept only as file references (name, key, size): there is no upload. Numbers are allocated by the service per year (INC-YYYY-NNNN). Nothing is sent to the client automatically.

Equipment handed over and returned on record

Radios, vests and intervention gear are handed over to a guard and returned, with the name, date and time recorded and a history of who holds what.

Contracts that become the billing basis

A client contract stores the hourly rate and the monthly hours for a site, or for every site of a client. The billing run compares contracted hours with the hours actually stood, adds the contract rate, overtime and the night bonus, and freezes the result as a snapshot you can export as CSV, for the invoice you then issue in 4invoices.

Read-only access for your client

On the Pro plan you can issue a client a read-only token that returns only their own sites, the hours worked in the month and their incidents, with an optional expiry date. It is an API response; there is no portal page to log in to.

From the first site to the monthly invoice

  1. Set up sites and contracts

Add the client, the guarded site, the number of posts and the contract rate. Post types and incident categories are lists you can extend yourself.

  2. Plan and check the roster

Assign guards to posts. The rest-hours check and the attestation check run while you plan, and the coverage report shows what is still empty.

  3. Run the day from the board

The dispatcher watches who is in post and who is late, while checkpoint scans and incident reports are recorded in the panel.

  4. Close the month

Freeze the billing basis per contract, export it as CSV, and issue the invoice in 4invoices — 4guards deliberately never numbers a fiscal document itself.

Built around the rules you set

  • The rest-hours check uses thresholds you set, so the values can follow your local working-time law and your collective agreement; the defaults are not legal advice.
  • Guard attestation dates are tracked per person, the way a guard company has to prove its staff may stand a post.
  • The billing basis understands the night bonus and overtime as separate lines, next to contracted versus worked hours.
  • Invoices and their numbering stay in 4invoices, the invoicing product of the same ecosystem; 4guards exports the basis instead of duplicating invoice numbering.

Questions security companies ask

Short answers about what 4guards does today — shifts, patrols, incidents, contracts and plans.

What does 4guards do for a security guard company?
It runs the operational side: shift planning per site, a dispatch board, checkpoint patrols, incident reports, equipment handover, client contracts and the monthly billing basis. It is dispatch and operations software, not an invoicing tool.
Does it check rest hours?
Partly. Planning a shift checks overlaps, 12 hours of daily rest (default) and a maximum shift length (default 12 hours), and flags a guard who passes the hours total over a rolling 7 days (48 hours by default) as a warning only. Weekly rest is not checked. Blocking violations are refused unless the dispatcher forces them, and a forced save leaves no record. All thresholds are settings you change to match your local law and collective agreement. The check is part of the Plus plan and above.
How are checkpoint patrols recorded?
You create checkpoints, each with its own code, and a route with its repeat interval. A scan is recorded from the checkpoint code, entered in the panel or sent through the API, with a timestamp; a missed-checkpoint list shows what was not scanned once the grace period has passed. Patrols start with the Plus plan.
Can I see which guards have an expiring attestation?
Yes. Every guard has an attestation expiry date, a separate list shows guards whose attestation has expired or expires within the number of days you configure, and on Plus and above shift assignment checks it too.
Does 4guards issue invoices?
No. It prepares the billing basis per contract — contracted hours against hours worked, the contract rate, overtime and night bonus — freezes it as a snapshot and exports it as CSV. The invoice itself is issued in 4invoices. The billing basis is part of the Pro plan and above.
Can my clients see anything?
On the Pro plan you can issue a read-only token scoped to a single client, optionally with an expiry date. It returns only that client's own sites, monthly hours and incidents, as an API response — there is no client portal page.
What does each plan include?
There are four plans, from €1 to €8 per month (Start €1, Plus €2, Pro €4, Premium €8), and every plan starts with 12 months free, no card and no yearly commitment. Prices are in euro; accounts in some countries settle in local currency at the rate of the day. Start covers the basics with up to 3 sites and 10 guards. Plus adds checkpoint patrols and the legal rest-hours check. Pro adds the client read-only access, equipment handover and the billing basis. Limits on sites, guards, users and storage grow with each plan; the plan cards on this page show the current numbers, and the pricing page lists what each plan includes.
Which countries does the site cover?
There are local pages for 30 countries besides this international page, each in its own language; the language selector in the header lists them. The product and the plans are the same everywhere.
