Onboarding and subscriptions
What is included in a 4guards subscription?
Every plan includes unlimited shift scheduling, dispatch, checkpoint patrols, incident reports, client contracts and recurring billing — no separately-priced add-ons.
Can I switch plans at any time?
Yes. Upgrade or downgrade any time from your account, with the invoice adjusted pro-rata for the remainder of your current billing period.
Can I manage multiple companies or business units from one account?
Yes. Manage multiple companies from the same account, each with its own sites, guards and billing, with no requirement for separate subscriptions.
What payment methods do you support?
Card (Visa, Mastercard) or bank transfer against a pro-forma invoice. Monthly or annual billing, with a discount on annual plans.
Can I cancel my subscription at any time?
Yes, no minimum term. Your site data stays exportable for 30 days after cancellation.
Sites and shifts
How many sites can I manage at once?
No limit on active sites on any plan. Every site has its own post roster, guards, contract and history, viewable separately or rolled up into one dashboard.
How do I break a site down into guard posts?
Define posts (gate, perimeter, warehouse) with the required coverage schedule per post. Overlaps and legal rest hours are checked automatically.
How do I find out which site is at risk of going uncovered?
The dashboard automatically highlights intervals with no guard assigned, alerting the dispatcher hours before the shift starts.
Does the field guard need a separate app?
No. Shift confirmation, checkpoint scanning and incident reports are filled in straight from a phone browser, even offline.
Dispatch and guards
How do I add a new guard?
Enter their details once — contract, certification, qualification (armed/unarmed) — and make them immediately available for post assignment.
How do I quickly reassign a guard for an emergency?
From the dispatch panel, move an available guard to a site in seconds — they get an automatic notification with the new post and instructions.
Can I see a guard’s shift history?
Yes. Every profile keeps posts covered, hours worked and any reported incidents — useful for performance reviews.
Can I migrate from an existing spreadsheet or paper trail?
Yes. We import your guard data and active sites from an Excel file, and a solution engineer helps with setup.
Patrols and incidents
How do patrol checkpoints work?
Place QR or NFC tags along the patrol route. The guard scans on pass-through, and the system logs the time and location automatically.
Do I get an alert if a round is missed?
Yes. Set the maximum interval between checkpoints, and the system automatically notifies the dispatcher if a point isn’t scanned in time.
How do I report an incident to the client?
The guard opens the incident from the field with photos and a description. Urgent incidents are automatically escalated to the manager and client.
Contracts, documents and security
What documents can I archive for a site?
Service contracts, security plans, handover reports and incident reports — all attached directly to the site, searchable and exportable.
Do I get an alert before a certification or contract expires?
Yes. An automatic notification goes out well ahead of the expiry date to the site owner, so you never leave a post without legal coverage.
Where is my company’s data hosted?
On our own EU infrastructure, GDPR by default, with daily backups and encryption at rest.
Is there a referral programme for other security companies?
Yes. An affiliate programme with a unique code — earn recurring monthly commissions for every company that picks 4guards on your recommendation.
