Security guard company Q&A
How do I manage shift handover between security guards?
Short answer
- The guard handing off the post records the site and equipment condition in the handover report.
- The guard taking over signs the handover report and reads the predecessor's notes.
- Any open incident is explicitly communicated to the new guard; in the panel it stays open on the site until it is closed.
- The dispatcher records check-in and check-out in the panel, with the time.
- If the handover runs late, the dispatch board shows the late guard or the post with no named guard; the dispatcher opens it and acts.
What the law says (brief)
- Law 333/2003 on the protection of objectives — the post handover must be documented, including notes relevant to the site's security.
- Government Decision 301/2012 — the methodological norms require a written record of the shift handover in the site's register.
Practical examples
- Example: the night guard hands off the post with the note "side door lock is faulty, flagged to the manager". The note goes into the handover report and into the dispatch event journal, where the text of an entry is never edited. The day guard reads it on takeover, with no phone call needed, and the dispatcher records the check-in time in the panel.
Common mistakes
- The handover is done verbally, with no written note — relevant information gets lost between shifts.
- There's no takeover confirmation, and dispatch doesn't know if the post is actually covered.
- Open incidents aren't visible to the next guard, who restarts the investigation from scratch.
How 4guards helps
- A dispatch event journal: the text of an entry is never edited and a follow-up is recorded as a “resolution”; admins, managers and owners can delete entries. The handover report in the post's register remains the official document; 4guards does not replace it.
- Check-in and check-out recorded from the panel, and a dispatch board with late guards and posts with no named guard. You consult them in the panel; you are not notified.
- Incidents stay open in the panel until they are closed (or reopened), so continuity across shifts shows in the history.
